Catalog File Maintenance (File)
 
Contents
Purpose: Setup and maintain the System Inventory Catalog File.
 
Maintenance: Very little maintenance required once it's setup for the 1st time.
 
General Reference: The Catalog System is a very important part of ProFrame, it's the heartbeat of this system. When ProFrame was originally designed, this Catalog system was the foundation. It allows you to control pricing and discounting on a global bases as well as individual customer accounts. It's use for reporting, placing items on sale and updating an optional online website order system, among other things. It's based on a Two Level Catalog, the 1st level is the main group, the 2nd level is the sub-category. The Vendor plays an important part as well. Each item is assigned to a Vendor and a Catalog. You could say it's a Three level catalog system. To help you understand how it works please see sample screen shots below before setting up your catalog system.
 

From inventory screen. Setup vendor and catalog for each item. From inventory screen. Select catalog for for each item. From an inventory report screen. Select a vendor and catalog as a filter.
 
When selecting a catalog during reports, discounting, price changing etc...
  • Vendor, select only a vendor.

  • Group Code, select only a main group (level 1)

  • Category Code, select only a category (level 2)

  • Example: Vendor 00146 and Moulding as filter..

Screen shot to the left is the Discount screen while working in the Customer File Maintenance. As you can see the Catalog helps setup custom discounting for each customer. In this example: if this customer buys Wood Moulding products from vendor 00146.. they get 8% off chops over 25, 8% on Length of 150 feet or more.. etc...
 
Tips: When setting up your Catalog System.
  • Group Codes, is level 1.. make codes whole numbers of 100's. like 100, 200, 300, 400 etc...

  • Category Codes, is level 2.. make codes in sequence of the Group number like 101, 102, 103.. 201, 202, 203 etc...

  • Example: Group Code 100 - Moulding, Category Code (101 - Wood), (102 - Metal)...


Catalog File Maintenance Section
 
Access Menu:  (start form Main Menu Screen)
  • File

  • Catalog File

Access Entry Menu
  • Enter Code, enter a (three) character code to access or add.

  • Note: This is the Group Code (Level 1)

  • Tip: Make the Group Code (Level 1) a whole number like 100, 200, 300 etc... and then make Sub Category (Level 2) a sequence of the Group number like 101, 102, 103... 201, 202 etc..

  • Search, select this to search for code entered. (enter code to activate)

  • Re-Sort, (is not made available for this option)

  • Note: This file is sorted automatically by Group Code (Level 1) + Category Code (Level 2)

  • Quit, select this to quit.

To Add new codes
  • Enter a code that cannot be found, this will cause the system to display notice above.

  • List, select this to list codes to choose from.

  • Add, select this to ADD this new code.

  • Re-Enter, select this to re-enter the code.

This is the List Screen, it's activated by selecting the List button from "Record not found" window. To make selection:
  • Double Click the Code field.

  • Highlight the Code and press Select.

  • Use Arrow keys to make selection and press the enter key.

  • Press ESC key or select Exit to Exit.

 
File Maintenance Screen
 
  • Group Code ID, Level 1.

  • Group Description, description for this level 1 Group (up to 12 characters)

  • Note: see below for Category Section.

  • Save, select this to save changes for this catalog group.

  • Quit, select this to quit without saving changes.

  • Recall, select this to recall this code. (before ReIndex Files)

  • Delete, select this to delete this code.

  • Note: deleted codes will be re-moved by the ReIndex option.


Category (Level 2) Section
 
  • GroupNo, Group Code (level 1)

  • CatNo, Category Code (level 2)

  • Descrip, description for this Category (level 2) (up to 12 characters)

  • Level1, Level, 1 - Group, 2 - Category

  • Add, select this to add a new category (level 2) to this Group.

  • Edit, highlight and select this to edit a category (level 2) under this Group.

  • Delete, highlight and select this to delete a category (level 2) from this Group.

After selecting Add or Edit or Delete from the Main Group file maintenance screen.. above.
 
  • Code, Category Code (level 1)

  • Note: if Adding, this is made available.

  • Category Description, description for this Category (level 2) (up to 12 characters)

  • Save, select this to save changes made for this category.

  • Quit, select this quit without saving changes.

  • Delete, select this to delete a category (level 2) from this Group.

  • Note: is only made available if Delete was selected from main group screen.
